1. About this policy

Prudixa is operated by Andrew Murphy Consulting Pty Ltd (ABN 54 644 714 670), trading as Prudixa (“we”, “us” or “our”).

This Privacy Policy explains how we collect, hold, use and share personal information through our website at www.prudixa.com and our AI-wallet platform. It covers website visitors, customers, organisers and participants, including candidates and event attendees.

In this policy, an “organiser” is a person managing wallets on behalf of a customer or funding organisation. A “participant” is a person invited to use a wallet. The “funding organisation” is the organisation arranging and funding that wallet.

Personal information is information or an opinion about an identified person, or someone who can reasonably be identified.

2. Information we collect

Depending on how you interact with Prudixa, we collect:

• Contact enquiries: your first and last name, email address, company name and information you include in your enquiry.

• Customer and organiser details: your name, company name and email address.

• Participant details: your name and email address, including participant email addresses supplied by the organisation arranging wallets.

• Wallet information: participant allowances, balances, funding and top-ups, usage and spending, expiry dates, and reallocation of unused funds.

• Participant technical and AI-usage information: participants' IP addresses and AI-usage details associated with their wallet use. We do not collect organiser IP addresses or organiser AI-usage details as part of this wallet-use collection.

• Assessment materials: files uploaded for an assessment, which may contain personal information.

• Marketing preferences: newsletter and promotional-email opt-ins and unsubscribe preferences.

• Website and dashboard analytics: information about interactions with our website and dashboard, collected through the technologies described in section 8.

Payment and billing information

Stripe processes subscription payments and wallet top-ups and collects the payment and billing details entered during checkout. Prudixa does not directly collect those details through its own payment form. We separately maintain the wallet funding, balance and usage records described above.

3. How we collect information

We collect personal information when you contact us, provide customer or organiser details, fund or manage wallets, use a wallet, upload assessment files or opt in to marketing.

We also receive participant email addresses from the organisation arranging their wallet. This means a candidate or attendee's details may be provided to us before they interact with Prudixa directly.

Participant IP addresses and AI-usage details are collected in connection with wallet use. Cookies and similar technologies also collect information when you use our website or platform, as described in section 8.

You can make a general enquiry without identifying yourself where practicable. If information needed for a particular function is not provided, we may be unable to respond to an enquiry, arrange wallet access or provide that function.

4. How we use information

We use personal information to:

• Respond to enquiries submitted through our Contact Us page.

• Provide and manage customer, organiser and participant wallet access.

• Administer subscriptions and wallet funding, including payments processed through Stripe, top-ups, expiry dates and reallocation of unused funds.

• Display participant names, allowances, wallet balances, usage, spending and expiry information.

• Support connections between wallets and participants' chosen compatible AI tools.

• Make uploaded assessment materials available to the relevant authorised people, subject to the access arrangements described in section 5.

• Understand how people use our website and dashboard, using product and website analytics providers including Google Analytics and PostHog.

• Personalise advertising, track activity across websites and measure advertising effectiveness through the arrangements described in section 8.

• Send newsletters and promotional emails to people who have separately opted in.

• Handle privacy enquiries and complaints and meet applicable legal obligations.

5. Participant information and organisational access

When an organisation arranges and funds a wallet for you, that funding organisation can see your name, wallet balance and usage records associated with the wallet.

All Prudixa staff also have access to these participant names, wallet balances and usage records.

The funding organisation may separately handle your information for recruitment, assessment or event administration. Its own privacy notices apply to that handling. This does not change Prudixa's responsibility for the information it handles.

6. AI tools and service providers

We use the following providers in connection with our services:

• Stripe: to process subscription payments and wallet top-ups. Stripe's Privacy Policy is available at https://stripe.com/privacy.

• Google Analytics: to analyse use of our website and platform and support the configured advertising and measurement activities. Information about Google's handling of data from services using its technology is available at https://www.google.com/policies/privacy/partners/.

• PostHog: to analyse how people use our website and dashboard.

Using a wallet with an AI tool can involve information being handled by the tool's provider and other providers involved in delivering the AI service. Their privacy practices and terms may also apply.

We may also disclose information where required or authorised by law.

7. Newsletters and promotional emails

Newsletters and promotional emails require a separate opt-in. Contacting us, creating an account or using a wallet does not automatically subscribe you to marketing.

You can withdraw your marketing opt-in by contacting [email protected] or by clicking on the Unsubscribe link in one of our emails.

Withdrawing your marketing opt-in does not stop communications needed to respond to your enquiries or administer services you use. Cookie and advertising preferences can be managed separately as described in section 8.

8. Cookies, analytics and advertising tracking

We use cookies and similar technologies on our website and dashboard, including technologies provided by Google Analytics and PostHog.

Our tracking activities have the following purposes:

• Understanding how people use our website and dashboard.

• Personalising advertising.

• Tracking activity across websites for advertising purposes.

• Measuring how successful our advertisements and campaigns are.

These technologies can collect information about website and dashboard activity and associate activity with browser or device identifiers. The specific information collected depends on the features and settings in use.

Information about Google's use of data is available at https://www.google.com/policies/privacy/partners/. Google also offers a browser opt-out add-on for Google Analytics at https://tools.google.com/dlpage/gaoptout/. That add-on does not control PostHog or all other advertising technologies.

9. Storage, security and retention

We hold personal information electronically in the systems used to operate Prudixa and through the service providers described in this policy. We take reasonable steps to protect it against loss, misuse and unauthorised access, disclosure or modification.

Staff access to participant names, wallet balances and usage records is described in section 5. All Prudixa staff have access to those records.

No online service or method of electronic storage is completely secure.

We retain personal information for as long as needed for the purposes described in this policy and applicable legal or record-keeping requirements. When it is no longer needed, we take reasonable steps to delete or de-identify it.

10. Access, correction and complaints

You can contact [email protected] to request access to personal information we hold about you, ask for a correction or raise a privacy complaint.

We may need to verify your identity before acting on a request. We will consider your request and respond within a reasonable period. If we cannot provide access or make a requested correction, we will explain why, subject to applicable legal restrictions, and explain how you can raise a concern about our decision.

For complaints, please describe your concern and provide contact details. We will acknowledge the complaint, investigate it and respond with our findings and any proposed resolution.

If your concern remains unresolved, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au to ask about your options.

11. Changes to this policy

We may update this policy as our services or information-handling practices change. The current version will be available on this page with an updated date.
